Options Purchasing Agent

Details:

Our client is a diversified real estate developer and builder with expertise in land acquisition, homebuilding, community design, entitlements and office, R&D and retail development. Our client has secured and invested approximately $500 million in equity and has successfully entitled over 5,000 residential lots.
 
The Options Purchasing Agent will need to have a strong attention to detail matched with a passion for solving problems and exploring new ideas to improve processes. The successful candidate will excel at handling multiple priorities and building positive relationships with diverse groups, love working with data (especially keeping data accurate and up to date!) and seek to grow in the Options and Purchasing field.

Reporting to the Purchasing Manager, the Options Purchasing Agent will be a hands‐on role tackling priorities such as the setting up and maintenance of the Options for each new communities, conduct option catalog review, and frame and model options walks.

Responsibilities Include:

Design Center
o    Approve Option Orders in Newstar Sales and generate applicable purchase orders
o    Obtain and distribute standard and/or upgrade cabinet, electrical, flooring, countertops, showers, solar and low voltage diagrams to Sales, Design Center, and upload to OnLocation
o    Enter Option Change Orders and Cancellations into Newstar Sales and generate applicable purchase orders for distribution
o    Build and Maintain Buyer Option Catalog in Excel
o    Maintain price and scope changes in Option Catalog, Newstar Enterprise and communicate with applicable team member
o    Coordinate material re‐select requests from Subcontractor
o    Collect cost and set sales prices for After Cut Off and Non‐Standard Option Requests, and enter into Newstar Enterprise for Purchase Order issuance after distribution of approved request to applicable team members
Purchasing & Options Management
o    Create scope of work and attach to blueprints for bidding
o    Negotiate bids and award contracts to Design Studio trades and manage contract processing with Assistant Purchasing Agent
o    Create and maintain Product Library in Newstar to include cost codes for standard and upgrade product specifications, pricing, related trade contractors, and costs, during the life on the community.
o    Review blueprints for accuracy and consistency with option bidding process
o    Audit new community set‐up with Take‐Off Margin Report (option description, trades attached, costs, markup and retail).
o    Work with and provide support to other internal departments such as Operations, Sales and Marketing as needed.
o    Provide support to Trade Partners regarding options, field concerns as they relate to Options
o    Serve as point of contact for option manufacturer reps regarding product updates, changes, discontinuations.
o    Assist Accounting and Escrow with closing out Lots and clearing Open Commitments within Newstar Enterprise

Sales & Marketing
o    Provide ongoing training to Sales Centers, Operations and Design Center on Order entry, and other internal processes and procedures relating to Options
o    Work with Sales & Marketing to Execute Designer Specifications at the Models
o    Work with Designers during pre‐model Decorator Book preparations, and coordinator necessary Decorator Book changes
o    Process all model purchase orders for Marketing with discounts and maintain model budgets by working directly with trade contractors and Sales & Marketing
o    Conduct Option Catalog Reviews and Model Option Walks
o    Procure Samples and Manufacturer information and distribute to Design Center and Sales offices as needed
o    Work with Sales & Marketing on development and review of Included Features list
o    Create Option Cut off List for Sales at the onset of each new community
o    Maintain Homebuyer Information sheet

Skills & Qualifications:
*    Constellation/Newstar Enterprise/Newstar Sales experience
*    Options experience
*    Proficient in Microsoft Excel, Word and Outlook
*    Effective communication skills (Written & Verbal)
*    Ability to succeed in a team environment
