Proposal Coordinator

Our client is a mid sized Construction Management firm who is nationally recognized for the quality of work they provide to their partners and clients. They execute on projects of all sizes, including billion dollar aviation expansion projects to facility improvement for government agencies.
*75% of responsibilities:
1)    Proposals/Quals packages
 a.    Support Senior Marketing team members in developing proposals
b.    Manage on-call and task order proposals as needed
c.    Support Marketing Team, Area Managers in development of customized quals
d.    Creating and updating Staff Resumes
*25% of responsibilities:
 2)    Event Calendar - (goal to post more info on social media/website and employee retention
 a.    Track all trade shows
b.    Track industry days
c.    Track networking events (CMAA, SAME, etc.)
d.    track all project milestones (groundbreaking, topping out, completion, etc)
3)    Website management
 a.    Management (overall change - possibly Wix for more control)
b.    News updates - project completion, project award, certifications, new hires, community outreach, regional employee events, project articles, holidays, etc
c.    Current pics - projects up-to-date
d.    Change awards from 'CMAA' to any project award - research recent projects and add awards to website.
4)    LinkedIn
 a.    Management
b.    News updates - match with website
5)    Trade shows
 a.    Giveaways
b.    Coordinate lodging, travel, shipping, etc…
c.    Registration
d.    Flyers/banners up-to-date
 6)    Project information package (form has been developed)
 a.    Gathering info at the start of the project
b.    Gathering info at project close-out
7)    Managing pictures
 a.    Working with Area Managers/Project Managers to capture:
 i.    Groundbreaking
ii.    Progress photos
iii.    Ribbon cutting
iv.    Final professional photos
b.    Staff photos
c.    Photos of events for all Regions
 8)    Yearend events
 a.    Coordinate/oversee venue
b.    Employee gifts
 9)    Videos
 a.    Training videos
b.    Employee testimonials for website
c.    Project updates for LinkedIn
10)    Certifications
 a.    Work with Office Manager to supply any needed marketing info as part of the renewing of company certifications
b.    Work with staff to obtain additional certifications
c.    Track employee certifications for proposal process and Social Media
d.    Send reminders to renew employee certifications
·         Experience within AEC (construction management, general contracting, or design firms) industry 
·         InDesign and Photoshop experience preferred
·         Team player/ability to coordinate with staff that are physically remote
·         Ability to multi task
·         Work in a fast-paced environment
·         Self-starter and needs minimal supervision
